Step 1 of 14

Add your CV and target job

Upload a DOCX/PDF CV, paste your master profile, or use the profile builder if you do not have a CV ready. Then import the job description from a public job post link or paste it manually.

Step 2 of 14

Import a job description from a job link

Paste a public job post URL and ApplyPilot will try to populate the target role, company and job description automatically. Review and edit the populated fields before running fit review.

Step 3 of 14

Build your profile if you do not have a CV ready

Choose Build my profile to add contact details, work experience, education, skills and additional notes. ApplyPilot converts this into structured CV input for fit review and pack generation.

Step 4 of 14

Define positioning before fit review

Use the positioning notes field to tell ApplyPilot what to emphasise, which proof points matter and what should not be overstated. This guides the later fit review and generation.

Step 5 of 14

Run the pre-generation fit review

Click Run fit review first to see whether the role is worth pursuing before using a full pack generation. Review the suitability score, must-have requirements, CV evidence found, major gaps and rewrite suggestions.

Step 6 of 14

Generate your tailored application pack

Click Generate application pack. ApplyPilot compares your CV with the job description and prepares a structured pack with match insights and draft application content.

Step 7 of 14

Review ATS-aware match, strengths, gaps and risks

Use the score as a decision aid. Review matched keywords, missing or weakly evidenced areas and the risk review before applying. This helps reduce avoidable ATS/recruiter screening gaps without keyword stuffing.

Step 8 of 14

Choose a CV template before downloading

Select ATS Friendly, Executive Modern, Elegant Simple, Professional or Professional Photo before downloading the tailored CV. ATS Friendly is the text-first single-column default for application portals; Professional/Photo are recruiter-facing alternatives. The photo template requires a user-uploaded headshot before download.

Step 9 of 14

Download the tailored CV and export the pack

Download the editable tailored CV DOCX or the submission-ready PDF, then reuse the CV bullets, cover letter, recruiter message and application Q&A. Export or copy sections into job portals, LinkedIn or email.

Step 10 of 14

Save to tracker and reopen saved packs

Save drafted packs to the tracker so you can reopen the full pack, download the tailored CV again and continue editing later.

Step 11 of 14

Use Pro Autopilot for a controlled application workflow

Pro users can configure Autopilot with application identity, seed CV, CV strategy, target companies, approved job sources, daily agent settings and preparation limits. Autopilot is designed for controlled automation, not blind mass applying.

Step 12 of 14

Run the Autopilot Agent manually or on a schedule

Use Run Now for adhoc processing, or configure scheduled daily runs. The agent works from your saved criteria and approved sources, scores jobs, prepares applications where allowed and writes a full run log.

Step 13 of 14

Review Autopilot readiness and submission outcomes

Before submission, complete the readiness checklist: CV reviewed, cover letter reviewed, identity checked, job details checked, application answers reviewed, no invented claims and final user approval. Then record whether the application was submitted, blocked, failed, expired or needs follow-up.

Step 14 of 14

Manage status, notes and follow-ups

Update status, notes, recruiter/contact, salary/rate, location, job link and follow-up date. Archive or delete old applications when your pipeline changes.

FAQ

Common questions

Can I choose a CV template?

Yes. After generating a pack, users can choose ATS Friendly, Executive Modern, Elegant Simple, Professional or Professional Photo before downloading the final tailored CV. Photo templates require the user to upload their own professional headshot before download and may not be appropriate for every market.

What is Step Zero positioning?

It is the role narrative you choose before generating. Users can tell ApplyPilot what to emphasise, which proof points matter most and what should not be overstated, so the output is more selective and less generic.

What is the pre-generation fit review?

It is a quick suitability check before full generation. It shows a score, must-have requirements, CV evidence found, gaps and rewrite suggestions so users can decide whether to proceed, improve the CV first or skip the role. It does not consume OpenAI credits or monthly pack allowance.

How are my profile preferences used?

Saved preferences such as target roles, salary/rate, location, work mode, right-to-work and notice period are included in generation where relevant. They help personalise risk review, recruiter messages, application Q&A and tracker defaults.

Can I track application status and follow-ups?

Yes. The tracker lets you manage saved packs with status, notes, recruiter/contact, job link, salary/rate, location and follow-up date. You can also archive or delete old entries.

Does ApplyPilot help with ATS screening?

ApplyPilot is ATS-aware. It compares the CV/profile against the job description, highlights supported and missing evidence, audits whether supported job-language is used in meaningful CV context, and provides a single-column ATS-safe template. The coverage metric is an ApplyPilot evidence audit, not an official ATS score, and ApplyPilot does not encourage keyword stuffing or false claims.

How do I use ApplyPilot?

Upload or paste your CV, import the job description from a job link or paste it manually, review the target role and company, define optional positioning notes, run fit review, then generate the application pack. Review the final checklist, export useful sections and save the role to your tracker.

Can I use ApplyPilot if I do not have a CV yet?

Yes. Use Build my profile to enter contact details, work experience, education, skills, certifications, projects, right-to-work and additional notes. ApplyPilot turns those details into structured master-profile text for fit review and pack generation.

Can I upload my CV instead of typing it?

Yes. The SaaS app supports TXT, Markdown, DOCX and text-based PDF files. If a PDF is scanned or image-only, paste the CV text manually for now.

Can I import a job description from a job link?

Yes. Paste a public job post link and ApplyPilot will try to import the role title, company and job description. Some job boards block automated reading or return imperfect data, so users should review the populated fields and use manual paste as a fallback.

What is included in an application pack?

The pack can include a match score, matched keywords, missing evidence, risk review, final tailored CV DOCX/PDF, tailored CV summary, CV bullets, cover letter, recruiter message and application question answers.

Does ApplyPilot apply to jobs automatically?

No. ApplyPilot prepares draft materials and tracker entries. The user remains responsible for reviewing and submitting applications.

Can ApplyPilot invent experience to improve my chances?

No. The product is designed to use the information you provide and flag missing evidence honestly. You should not use it to invent experience, employers, qualifications, certifications or achievements.

Where is my data stored?

Authenticated user data is stored in Supabase with row-level security policies. Generated packs are saved to your account tracker when you are logged in.

What is Autopilot?

Autopilot Agent is the premium paid Pro add-on workflow for serious job searches. It lets users configure application identity, seed CV, CV strategy, target companies, approved job sources and agent run settings. It can queue jobs, score matches, prepare applications, run readiness checks, send run notifications and track outcomes.

Is Autopilot available on Free or Starter Pass?

No. The manual Autopilot workspace is available to Pro users, but the automation-heavy Autopilot Agent is a paid add-on to Pro Monthly or Pro Annual. Free and Starter users can still use the standard application pack generator, but the Autopilot Agent, approved-source discovery and run logs are Pro features.

Can Autopilot run automatically every day?

Yes. Pro users can configure the Autopilot Agent to run manually, on a daily schedule, or both. Scheduled runs use the user’s saved settings, approved sources, company allowlist, maximum jobs per run and maximum applications per run.

Does Autopilot find jobs from anywhere on the internet?

No. Autopilot uses approved-source discovery only. Users must explicitly configure source URLs and optional approved domains. It is not designed for broad scraping, login bypass, CAPTCHA bypass or unsupported job-board automation.

Can Autopilot only apply to companies I choose?

Yes. In Autopilot settings, users can choose Any company unless excluded or Only selected companies. The selected-company allowlist includes common banks, consultancies, fintechs and technology firms, plus an Other field for custom companies.

Does Autopilot submit applications automatically?

Autopilot can prepare applications and track outcomes. Limited supported submit flows are deliberately narrow, such as an email-to-recruiter/company flow when configured. It does not bypass job-board login, CAPTCHA or unsupported application forms, and readiness review is required by default.

What do I get with Pro?

Pro includes 50 full AI application packs per month, final tailored CV DOCX and PDF outputs, exports, tracker management and the manual Autopilot workspace. The Autopilot Agent add-on adds approved-source discovery, scheduled/adhoc agent runs, auto-preparation, notifications and supported submit-flow tracking.
